# Gmail for AI Agent

> Using Gmail for an AI agent? Understand sending limits, OAuth permissions and aliases, then compare Gmail with a dedicated Revdoku inbox.

Gmail can work for an AI agent that needs existing conversations or must send from a Gmail address. The setup needs appropriate OAuth permissions, quota handling and a clear boundary around the messages the agent may access. Google documents both the [Gmail API](https://developers.google.com/workspace/gmail/api/auth/scopes) and a [Gmail MCP Developer Preview](https://developers.google.com/workspace/gmail/api/reference/mcp).

Give each AI task its own receiving address with Revdoku. Give each agent access to the mailbox it needs and receive messages and attachments there. See [email capabilities](/api/#incoming-email-into-a-mailbox).

## What the Reddit suspension story tells you

In a [Reddit report about an agent's Gmail account](https://www.reddit.com/r/openclaw/comments/1rbm904/gmail_banned_my_agents_account_after_48_hours/), the author reports that a new account was disabled on day three despite sending below the headline limits; the title says 48 hours. We cannot independently verify either.

This anecdote does not establish Google's enforcement policy. It establishes neither that Gmail prohibits agents nor that sending below limits guarantees continued account access.

For AI integrations, Google documents a [Gmail MCP server in Developer Preview](https://developers.google.com/workspace/gmail/api/reference/mcp). Distinguish connecting an existing Google identity from provisioning separate inboxes for agents and applications.

## Separate Gmail sending limits from Gmail API quotas

Google says personal Gmail may show sending-limit errors above 500 emails daily or 500 recipients per message. Sending may resume within 1–24 hours. This is a sending restriction, not an account-ban threshold. [Personal Gmail limits](https://support.google.com/mail/answer/22839?hl=en).

Paid Google Workspace allows up to 2,000 daily messages per user; trial accounts allow 500. Recipient limits and account context matter. [Workspace sending limits](https://knowledge.workspace.google.com/admin/gmail/gmail-sending-limits-in-google-workspace).

The Gmail API separately applies method-weighted project and user quotas. These changed in May 2026; qualifying older projects retain previous quotas. Check your project's allocation. Handle quota errors with bounded exponential backoff and jitter. Jitter staggers retries to avoid synchronized load. [Gmail API quotas](https://developers.google.com/workspace/gmail/api/reference/quota).

Reduce backend polling with Gmail's `watch` notifications through Cloud Pub/Sub. Renew watches before expiration and maintain synchronization, recovering from missed notifications. [Gmail push notifications](https://developers.google.com/workspace/gmail/api/guides/push).

## Choose Gmail OAuth scopes for the task

Google documents these scopes (names shortened):

| Scope | What it permits |
| --- | --- |
| `gmail.readonly` | Reading mailbox messages and settings across all labels and threads |
| `gmail.send` | Sending email without reading access |
| `gmail.compose` | Managing drafts and sending email; not draft-only |
| `https://mail.google.com/` | Broad read, compose, send and permanent-delete access |

Your app's label or search filters do not narrow token permissions. Request the broad `mail.google.com` scope only as needed. Gmail add-ons offer current-message scopes for distinct interactive use. [Gmail scope reference](https://developers.google.com/workspace/gmail/api/auth/scopes).

Scopes can change after app creation. Google supports incremental authorization: add access as needed, with appropriate user consent and applicable verification. [Google OAuth best practices](https://developers.google.com/identity/protocols/oauth2/resources/best-practices).

An agent sending only approved notifications can request `gmail.send`. Reading a user's inbox requires an appropriate reading scope, even when code selects only invoice messages.

## Extra addresses are not separate agent inboxes

Gmail plus addressing sends `address+tag` mail to the same inbox. It organizes arrivals without creating an independent account or agent permission boundary. [Gmail address variations](https://support.google.com/a/users/answer/9282734?hl=en).

Workspace administrators can add up to 30 free aliases per user. These route to that user's mailbox. [Workspace aliases](https://knowledge.workspace.google.com/admin/users/add-or-delete-an-alternate-email-address-email-alias).

Google's separate 12-month rule covers creating primary `@gmail.com` addresses on eligible existing accounts, at most three times total. The old address remains an alternate; both share an inbox. It is not a blanket alias limit. [Google Account address changes](https://support.google.com/accounts/answer/19870?hl=en).

Revdoku aliases likewise share mailbox history, quotas and permissions without changing the primary address. They require administrator permission and available alias allowance. See [mailbox aliases](/api/#mailbox-aliases) and [account limits](/api/#account-limits).

For different agent access, use separate mailboxes.

## A three-inbox Revdoku agent architecture

For example, create three Revdoku mailboxes with separate receiving addresses, and three separate agent connections:

| Mailbox purpose | Incoming material | Connection access and output |
| --- | --- | --- |
| Research | Newsletters and research attachments | Research mailbox only; saves a source-linked digest |
| Support intake | Customer questions and screenshots | Support mailbox only; saves triage notes and proposed replies |
| Invoice intake | Supplier messages and invoice PDFs | Invoice mailbox only; saves extracted fields for review |

Use the email addresses returned when you create the mailboxes.

### Authorize each Revdoku agent connection separately

Use the Revdoku skill, CLI, MCP or API and follow its authorization flow. Select only the required mailbox and permissions; grant write access to save output. Revdoku permissions cover accounts or selected mailboxes, not arbitrary folders. See [connection setup](/connect/) and the [API guide](/api/).

### Keep the original message available

Keep the original email and attachment alongside the agent's result so a person can check its interpretation. Revdoku stores decoded messages and files; your agent or application performs document extraction. Link the result to its source message and attachment. [Email and file API](/api/).

## Choose an AI agent email inbox for the job

Keep Gmail for existing conversations or a Gmail sending identity; choose Revdoku for separate intake workspaces. Combine them: review a proposed reply in Revdoku, then send through a separately authorized Gmail integration or outbound provider.

For selected messages already arriving in Gmail, follow the [Gmail forwarding guide](/blog/how-to-set-up-auto-forwarding-from-gmail-to-revdoku-s-email/).

Hi! Here’s the brief for our next project.

## Frequently Asked Questions

### When should I choose Revdoku instead of Gmail for an agent?

Choose Revdoku when the agent needs a dedicated receiving address and a workspace for incoming messages, attachments and generated files. Choose Gmail when it needs access to an existing user's conversations or must send using that user's Gmail identity. A workflow can use both services.

### Do aliases give each agent a private inbox?

No. Gmail plus addresses and aliases route mail into an existing mailbox, and Revdoku aliases also share their mailbox's permissions and history. For separate access boundaries, create distinct mailboxes and authorize each agent connection only for its required mailbox. Revdoku access controls apply to mailboxes or accounts, rather than individual folders.

### Which Gmail permission should I request for a notification-only agent?

Use `gmail.send` if the agent only needs to send notifications; it does not grant inbox-reading access. Reading messages requires an appropriate reading scope, and filtering for invoices in your code does not narrow the token's permissions. If you also need drafts, remember `gmail.compose` permits sending as well as draft management.

### How should I handle Gmail limits in a production agent?

Treat sending limits and Gmail API quotas as separate constraints, and check the allocation that applies to your account and project. Handle API quota errors with bounded exponential backoff and jitter. Use `watch` notifications to reduce polling, while renewing watches and recovering from missed notifications. Staying below sending limits does not guarantee continued account access, and the reported suspension anecdote does not establish Google's enforcement policy.
